How do I apply for an alumni card?

To obtain the Alumni Smart ID/Library Card you need to print off the application form and send it into the office with two colour passport sized photographs. Once we have received the form and photos in the office it will take 2-3 weeks to process and return the card to you. If you need the card quickly you can visit the Alumni Relations Office in the Room 3107 in the George Thomas Building (building 37, opposite Jubilee Sports Centre) during normal office hours** and complete an application form, we will then sign off the form and you can take it to the ID Studio where your photograph will be taken and your card will be produced while you wait. If you come into the office you do not need to bring any passport photographs.

**Please note the ID Studio closes at 3.30 on Wednesdays. Also, it is very busy at the beginning of term (end of September/October), so please be aware there maybe a considerable wait.

How do I renew my alumni card?

The process is the same as above, you have to complete an application form and provide two new colour passport sized photographs or have a new photograph taken by the ID Studio. Please see further information above.

How do I obtain a new degree certificate? Or transcript?

You need to contact the Examinations Office. For a new certificate please email exams@soton.ac.uk For transcripts please email certs@soton.ac.uk Alternatively you can telephone the Examinations Office on 02380592823.

Who do I contact for an academic/personal reference or a certified letter?

You need to contact your former school or tutor. A list of school contacts is on the Certificates and Transcripts pages or you can search on the Email and Telephone Directory, failing that contact the University's switchboard on 02380595000 and they can put you through.

What do I do if my Alumni Smart ID/Library Card is lost or stolen?

LOST: If the card is lost and made within the last 3 years, you will have to pay a replacement fee of £10. If the original card is less than 12 months old we will still have your original application form so please send in a cheque made payable to University of Southampton with a covering letter, or come into the office with the payment. If the original card is older than 12 months you must complete a new application form and provide two new colour passport sized photographs.

STOLEN: If the card is stolen and you have reported it to the police you do not have to pay the replacement fee as long as you can provide the police crime number. If the original card is less than 12 months old we will still have your original application form so please send in a cheque made payable to University of Southampton or your police crime number with a covering letter or come into the office with the payment or number. If the original card is older than 12 months you must complete a new application form and provide two new colour passport sized photographs.

Can I obtain an Alumni Smart ID/Library Card if I am not an alumnus?

If you did not study a degree course for more than 10 weeks at the University of Southampton you are not eligible to use the Alumni Services. You can however still join the Sports facilities and the Library as an external borrower or local resident. Please contact the Sport Centre on 02380592119 or the Hartley Library on 02380592180 directly for further assistance.

What help can the Alumni Office give me to arrange a reunion?

We are very happy to assist Alumni in organising their own events. We can tell you who we are in contact with from your year/course/hall and can then forward information on for you. We can list your event on our Forthcoming Events page and in the Hartley News or E-Newsletter. We can also help with venue and catering advice. Just ask, we will help if we can!

How long does my student email account run after I graduate/leave University?

The account will remain active for approximately three months after your leaving date. You will receive an alert from i-solutions approximately two weeks before the account is closed. When it is closed it is deleted so you will not be able to retrieve any emails or information held in the account as it will no longer exist. The email forwarding service provided by the Alumni Relations Office is in no way linked to your student account.

What career assistance is available to me?

We provide you with life-long careers support given through Career Destinations. Using the Careers Portal you can log in and see available jobs, gain assistance with CV’s and interviews, make appointments with career advisors.
