Online HR Requests

Published: 21 December 2015

From January 26th 2016 the HR department will begin introducing HR Requests, a new way for faculties and departments to request changes to employee records.

HR Requests are online, dynamic forms available through ServiceLine Online; you will be able to raise HR Requests in the same way you currently raise HR ServiceLine tickets. The focus will initially be on employee contractual changes, with other HR Requests relating to absences and visitor registration following shortly afterwards. The aim is to eventually replace the majority of the HR Form Store, with online HR Requests. The initial HR Requests will include:

  • Regrades
  • HRZ Applications
  • Change to working hours/patterns
  • Extensions to Fixed Term Contracts
  • Leavers/End of Contract
  • Additional Increments
  • Career Break Applications
  • Senior Appointments
  • Change from Fixed Term to Permanent
  • New or changes to Additional Payments
  • Secondments/Acting up
  • Out of Rounds Professorial Re-banding
  • Out of Rounds Promotion (Academic)

What are the Benefits?

Completing these forms will offer significant improvements in form completion, authorisation and subsequent processing by HR. When completing a short, simple online HR Request, basic employee information will be automatically populated in the HR Request, showing the employee's post title, post number, their academic unit/department, and line manager. On submitting the HR Request the request will be sent automatically to the relevant people to approve. Approval can be done directly from an email and, once fully approved, the HR Request will be issued to HR to action the changes.

Online support guides will be available to users within the system and further information for users and approvers will be issued closer to the time.

If you have any questions regarding this introduction of online HR Requests then please get in touch with Lisa Smith or Caroline Quinn in the HR Systems team. Any general queries regarding employee contractual changes should be directed to your HR representative in the normal manner.
