Staff apprenticeships - Completing or ending an apprenticeship

Apprenticeship comes to an end

On successful completion of an apprenticeship programme the apprentice will be awarded the appropriate certificate, a copy of which will be sent to the appointed line manager.

The line manager must raise a ticket via Service Now, attaching a copy of the certificate and instructing HR Transactions to amend the employee’s pay to 100% of the lowest spinal point of the grade of the post. A copy of the certificate will be saved to the employee’s Doc Store record and a contractual variation letter issued by HR Transactions to the employee confirming their substantive employment.

If the apprentice is unsuccessful in completing the apprenticeship programme, the line manager must contact AskHR to discuss options regarding potential ongoing employment or the possibility of dismissal.

If, at the end of the apprenticeship, the employee’s ongoing employment is at risk of redundancy, the employee will be subject to the full provisions of the University’s redundancy and/or redeployment policies where eligible.

Ending an apprenticeship early

If the Faculty/Service wishes to end an apprenticeship for any other reason (e.g.) conduct or capability, the University’s normal policies and procedures must be followed accordingly. Managers should seek advice and guidance from Ask HR in the first instance.

The line manager must raise a ticket via Service Now and instruct HR Transactions to terminate the employee’s contract of employment and to update the employee’s record in the digital Apprentice Service which will instruct the Training Provider to cease drawing down on the Apprenticeship Levy.
