Email and calendar

Find out more about your email account, including the facilities that are available to you and also, how you can access email in a number of different ways, such as away from campus and through certain mobile devices

Email for staff and researchers

You'll find that email is one of the primary methods of communication throughout the university.

Staff are issued with an Outlook Exchange account which is accessible on and off campus.

All University machines use Microsoft Outlook by default.

Calendar

Your Microsoft Outlook account includes a calendar for booking meetings and viewing availability. University calendars are set up to share appointment details by default to anyone within the organisation. Find out how to change the visibility in this step-by-step guide.

Email distribution lists

The University maintains two main email distribution lists. These are:

Majordomo is available to all staff and students and allows you to create and maintain distribution lists, apply to be added to a list or send emails to existing lists.

@all.soton is a beta service available to all staff and students, developed primarily to enable students on each taught module to email their fellow students and discuss issues relating to their modules. Shared email accounts

Shared email accounts are email-only accounts set up for a specific purpose that can be accessed by multiple people. For example, an account might be set up to provide an email address for a particular faculty team, or for a student club or society. These accounts do not have any other access rights other than to the mailbox.

Shared email accounts must always be the responsibility of a 2 named members of staff at the University.

Accounts for other purposes

There are rare occasions where an account may be required for University activity other than email. These types accounts are fully reviewed before issuing to ensure we do not have an alternative solution which may meet your needs in a more secure way.

These accounts need to be requested along with detailed information as to how you propose to use the account, and why the account is needed. We may have further questions to clarify before issuing the account to ensure the most appropriate solution is found.

Other purpose accounts must always be the responsibility of a 2 named members of staff at the University.

Email archiving

Everyone is given 2GB of space by default and this can be increased in increments to a maximum of 5GB on request to ServiceLine. In addition, you have an easily accessible but separate Online Archive space.

All staff are provided with 10GB of Online Archive storage space (accessible in Outlook 2010 and Outlook Web App) for archiving their email.

Privacy Settings
