How to get involved

The call for contributors to SOTSEF 2021 will open later in the autumn.

In a usual year, we welcome entries for the following categories for in-person events:

Outline of the registration process

Since 2020, we are using a new registration system. Submission is a password protected 3 stage process.

Please note: we will provide information on how to sign in to the registration page together with a customised ID and password in targeted internal and external communications - see 'For Researchers' and 'For External Exhibitors' sections at the bottom of this page.

The information required at each of the stages is detailed below.

Stage 1

You will receive a confirmation email of your submission with a summary of your input immediately on completion. In case you did not receive any confirmation e-mail, please get in touch asap by e-mailing festival@southampton.ac.uk to check whether your activity appears on our records. 

There will be a short period whilst the Festival Team review and approve your activity. You will then receive an email confirming acceptance detailing a link with password and ID for you to be able to continue to Stage 2.

Stage 2

You will receive a confirmation email of your submission with a summary of your input immediately on completion. You will then receive an email confirming acceptance detailing a link with a password and ID for you to be able to upload your Risk Assessment form.

Risk Assessment uploading (stage 3)

The system will accept .docx, .xclx and .pdf files only.

You will be able to upload to a maximum of 3 documents, one of which must be a signed and dated risk assessment for the activity. 

You will receive a confirmation email of your submission with a summary of your input immediately on completion. 

Please note: the Festival team and the Health and Safety team will review all documentation submitted, so please make sure this is correctly completed and signed. 

Deadlines

Please note that there are firm deadlines for each of the stages. These are set in order for us to deliver the best experience we can for both exhibitors and visitors and make sure that all requirements and expectations are met for our venues too. To discover a typical timescale for SOTSEF, please see the following from the 2020 edition:

Stage 1 Deadline: Friday 10 January 2020

Stage 2 Deadline: Monday 3 February 2020

Risk Assessment Deadline: Monday 24 February 2020

For researchers

If you are a researcher at the University of Southampton looking to showcase your project at SOTSEF 2021, please note that the internal call at the University of Southampton for contributors will open at the beginning of December. 

An 'Exhibitor Registration' call will be posted on SUSSED and sent to the Public Engagement (PE) Network mailing list. These internal communications will contain the log in details (ID and password) to submit your activity to Stage 1.

The call will also be announced on the PERu social media profiles, please just follow #SOTSEF.

If you wish to join the PE Network mailing list, please e-mail peru@southampton.ac.uk and include your Department and field of research if applicable.  

For students

If you are a student at the University of Southampton looking to volunteer alongside researchers or staff, or to be paid to work as a Student Ambassador please get in touch by sending an e-mail to festival@southampton.ac.uk from mid January or check with your local Student Ambassador scheme.

For external exhibitors

If you are an external exhibitor hoping to engage the SOTSEF public at the next Science and Engineering Day, please e-mail us at festival@southampton.ac.uk to discuss your idea or request ID and password to submit your entry.
