Third party consent

At The Student Hub we want to support every student to reach their full potential. We understand that sometimes in order to do this a student will ask us to work alongside a parent, family member or other source of support. We also understand that students have people in their lives who want the best for them and whilst we acknowledge that a request for information about a student is often motivated by good intentions, we must also meet our legal obligations to protect student data.  
 
We will do our best to be able to provide you with as much information about University services, support and processes as we can, without disclosing data regarding a student. When we are contacted by someone looking for information regarding a student we will not be able to confirm any information, including if a student is studying at the University of Southampton. 

 

Consent to release information

There are times when a student may decide that giving someone else permission to discuss an issue on their behalf will help resolve the issue. If this is the case, we have developed an online form students can complete to provide us with this legal consent. Please note: the form requires student log in and can only be completed by the student, the form cannot be completed on a student’s behalf.   
 
You should give very serious consideration to the ramifications of giving your consent for someone else to interact with us on your behalf. You should consider all the information the University may hold and seriously consider if this is information you would be happy to be shared. If you do decide to give consent to share, there is a section on the form where you can clearly tell us if there is anything you do not want shared, and we will respect your wishes.

What does it mean if I give my consent?

Giving your consent means that Student Hub has permission to discuss your student account or specific information with the named person stated on the form. We will only discuss information related to the subject matter you select, and you can inform us if there is something specific do not want us to discuss.  

Who can I give my consent to?

You should give consent to the person most appropriate in helping you resolve the issue including parents, sponsors or a trusted third party. You should think carefully about the person you chose to give consent to, as they will be able to discuss matter relating to you with the Student Hub and may be able to carry it some activities on your behalf.  

How do I remove consent?

You can remove consent at any time by sending an email to studenthub@soton.ac.uk.  

Who in the University will be able to see my consent?

The consent form covers many services which form part of The University, this includes The Student Hub, Disability and Inclusion, The Wellbeing Team, Careers and Employability, Sport and Wellbeing, Exams Awards and Graduation and Student and Academic Administration. We also work closely with Residential Services and the Fees Team, to ensure we can resolve queries in those areas these teams will be able to see the consent and act on it, if the area you wish us to disclose relates to them.  

How long will my consent last?

If you request for consent to share before arrival to University regarding Accommodation this will expire when you begin your studies.  
All other consents will last for the current academic year and consent will be withdrawn on 31st July in the relevant year.
