Book our meet and greet service

Our University meet and greet team is here to make your arrival to the UK as simple, safe and stress-free as possible. We understand that moving to university is a big step – not just for students, but for their families too.

To make your journey easier, we offer a free airport meet and greet coach pick‑up service for students who are arriving to the UK for the first time and staying in University halls of residence.

How our meet and greet service works

On the day you arrive in the UK, our team will meet you inside the airport terminal and direct you towards our coach service. Your coach will then take you straight to your halls of residence, so you don’t need to worry about navigating onward travel.

The team will meet you at either:

  • London Heathrow Airport (LHR) – Terminal 3 international arrivals lounge
  • London Gatwick Airport (LGW) – South Terminal international arrivals lounge

They’ll be easy to find in bright pink University of Southampton t-shirts.

 

If your flight is delayed and you miss your coach booking, we will release your space to another student on the waiting list. You will then need to arrange and pay for your own travel to your accommodation.

There will be helpful information on how to do this in your confirmation email.

If you are landing at a different terminal to where our meet and greet team will be based, you will need to transfer to the pick-up terminal. More information on inter-terminal transfers can be found on the London Gatwick Airport website and London Heathrow Airport website.

Please allow yourself enough time to complete any transfers.

Due to limited space, family and friends cannot accompany you on the coach service. If you are a PhD student travelling with your family, please email the meet and greet team.

Due to limited space, the amount of luggage you can bring onto the coach is limited to:

  • 2 large suitcases
  • 1 piece of hang luggage
  • 1 rucksack or laptop bag

We understand that some airlines may offer you more than this luggage allowance, but there is no space for additional luggage on the coach.

Please email the meet and greet team before you book your service if you need more luggage than our allowance, or to discuss other options available to you.

You are responsible for carrying your own luggage.

Meet and greet service dates

For the 2026/27 academic year, the service will run on the following dates:

  • Thursday 10 September
  • Friday 11 September
  • Sunday 13 September
  • Monday 14 September

Coach departures will run from the airport between 9am and 6pm, UK time.

How to book our meet and greet service

Places for the meet and greet service are limited, so you must book in advance.

You need to be a student arriving to the UK for the first time and staying in University halls of residence to be able to book the service. You will be asked for your accommodation contract number when booking.

Book our meet and greet service

Once you have booked, you will receive an automated confirmation receipt. We will also send you an email in September with more details on what you can expect at pick-up.

Pre-sessional meet and greet service

If you are a pre-sessional student arriving in the UK in July, you may book our pre-sessional meet and greet service.

The service runs on the following dates – please select a date and complete the short booking form:

The booking forms for our pre-sessional meet and greet service are separate from the booking forms for our September meet and greet service.

Cancelling your meet and greet service

If you need to cancel your meet and greet service for any reason, please complete our cancellation form.

Independent travel

If you arrive after the last meet and greet service or decide to travel independently, you will need to arrange and pay for your own travel to your accommodation.

  • National Express coach services can take you from London Gatwick Airport or London Heathrow Airport to Southampton Central Coach Station. Coaches run throughout the night.
  • National Rail train services can take you from London Gatwick Airport or London Heathrow Airport to Southampton or Winchester.

Once you arrive in Southampton or Winchester, you will need to take a taxi to your accommodation. We recommend using Radio Taxis.

Preparing for travel

Before you travel, we recommend you:

  • check your passport and visa details carefully and ensure all documents are in your hand luggage.
  • carry paper and digital copies of important documentation, such as your visa decision or eVisa confirmation, University offer letter and or confirmation of acceptance for studies (CAS), and accommodation details.
  • purchase appropriate travel insurance.
  • check the latest UK government travel advice relevant to your departure country.

If you arrive on Thursday or Friday, you will get to campus before Welcome Weekend starts on Saturday 14 September.

These days can be particularly busy, so we recommend booking early to avoid disappointment.

If you arrive on Sunday or Monday, you will get to campus after Welcome Weekend.

These days are usually less busy, so you may find there is more availability when booking.

If you’re unsure which day to travel, or you’d like help planning your arrival, please email the meet and greet team.

To reduce the likelihood of cancellation or delay:

  • Choose direct flights where possible, or routes with fewer connections.
  • Fly with established international airlines, which tend to have more options if schedules change.
  • Avoid very tight connections between flights.
  • Check airline flight change policies before booking.

Biometric checks

The UK has introduced a digital, biometric‑based border system to make entry to the country more secure and efficient.

 

When you arrive in the UK:

  • Your passport will be checked and matched to your immigration permission, which for most students is now held digitally as an eVisa rather than a physical visa sticker.
  • Border Force officers or automated systems may verify your biometric information, usually through facial recognition and, in some cases, fingerprints. This helps confirm your identity quickly and accurately.
  • Some students may be able to use automated passport gates, known as eGates, while others will speak to a Border Force officer. Both processes are routine and secure.
  • You may be asked a small number of standard questions – for example, where you are studying or where you will live. This is normal and nothing to worry about.
  • Biometric information is handled under strict UK data protection laws and is only used for immigration and security purposes.

To ensure a smooth arrival, we recommend you:

  1. make sure your passport is linked to your UKVI account and eVisa before you travel.
  2. carry a digital or printed copy of your visa decision letter with you.
  3. have your University offer or confirmation of acceptance for studies (CAS) details easily accessible.

For most students, biometric checks do not cause delays and often speed up the process.

If additional checks are needed, Border Force staff are trained to explain what is happening and assist you calmly and professionally.

The University of Southampton is familiar with these processes, and will support you if you experience any difficulties when you arrive.
